Job Description:

The skill set to do the above requires a solid understanding of project and resource management, strong business acumen, team focus, experience working in a complex project delivery environment, as well as an advanced understanding of an enterprise project and portfolio management (PPM) tool.

Key Responsibilities include:
Perform as the project librarian responsible for the proper organization and documentation of project information in MS SharePoint. Document and communicate changes to the appropriate departments and works with other analysts to develop improvements, modifications and enhancements.

Leverage MS Project Server and SharePoint to track and analyze project milestones, deliverables and status. Assist Project Managers with creating MS Project reports and SharePoint custom view development for issues, risks and decisions.

Assemble activity reports for management review and notifies management of issues and problems requiring immediate attention. Track weekly issues, risks, decisions and dependencies across the Channel project to review with project managers and team.

Track and follow up with staff to ensure team compliance with PMO protocols for time reporting and project schedule maintenance on Project Server. Provide training for timesheet creation and importing with individual resources to provide schedule updates. Follow up with each resource as needed. Work with Project Managers to make updates.

Build and update MS Project plans. Assist in the maintenance of the Project Plan ensuring that plan is properly and consistently updated. Publish updates to Project Web Access (PWA) and SharePoint. Publish consolidated resource allocation view to SharePoint for Project Managers. Provide schedule slippage report for each PM as a result of weekly updates.

Gather and assemble weekly project status report and other progress/update reporting to various audiences as required. Partner with Channel project managers to create and maintain deadlines.

Identify and assess ongoing improvements to Project Office approach, processes and tools. Review and consolidates outputs related to methods and procedures within the Channel team.

Assist in the planning, organization and development of product and program management processes and documentation associated with the collection, retrieval, accessibility and usage of information for planning and decision making.

Work on multiple projects simultaneously; assist with establishing work plans and timelines.

Manage and maintain resource management tracking, including vendor management and space planning. Provide variance analysis for staffing, spacing, equipment, schedule and training. Manage onboarding / offboarding protocols and process.

Requirements:

  • Bachelor*s degree and five years relevant experience or equivalent combination of education and experience.
  • Good organizational, scheduling and documenting skills related to analytic and system decision making.
  • Working knowledge of PCs and related software applications.

Preferred Skills:

  • Strong MS Project, MS Project Server and SharePoint skills.
  • Experience in resource leveling and reporting/project tracking.
  • Proficiency with MS Office Tools, including Visio, Excel, Access, Word, and PowerPoint.
  • Document management.
